KVAS Travel is an independent travel advisor powered by Fora Travel. Fora Travel, travel suppliers, payment processors, and other booking providers may collect and process information under their own privacy notices. This Policy describes KVAS Travel's practices and does not replace the policies of those independent providers.

1. Information We Collect

The information collected depends on your inquiry, itinerary, destination, travelers, and requested services.

Contact and identity information. Name, email address, telephone number, mailing address, and similar identifiers.

Traveler and reservation information. Date of birth, gender or title where required by a supplier, citizenship or residency, passport or government-identification details, Known Traveler or redress number, visa information, loyalty-program numbers, and reservation records.

Travel preferences. Destinations, dates, budget, accommodation and cabin preferences, dining interests, activity preferences, celebration details, trip history, and other information used to personalize a journey.

Companion and group information. Names, contact details, ages, relationships, rooming preferences, and booking information for companions or group members. You must have authority to provide information about another traveler.

Sensitive travel information. Accessibility needs, mobility requirements, dietary restrictions, allergy or health-related information, religious considerations, emergency contacts, or other sensitive details you choose to provide when needed to arrange travel safely and appropriately.

Payment and transaction information. Planning fees, booking amounts, payment status, refunds, commissions, and transaction records. Full payment-card information may be processed through Fora, payment processors, or supplier booking systems and is not intended to be stored in ordinary KVAS Travel email or documents.

Communications. Emails, messages, call notes, form responses, feedback, itinerary discussions, and service requests.

Website and device information. IP address, browser and device type, referring pages, pages viewed, approximate location derived from IP address, cookie identifiers, and activity collected through hosting, security, analytics, and scheduling tools.

Marketing preferences. Newsletter or promotional subscription status, communication choices, and interactions with travel content.

2. How We Collect Information

• Directly from you when you contact us, complete an intake form, schedule a call, pay a planning fee, approve an itinerary, or request a booking.
• From another traveler, group leader, family member, employer, or authorized representative arranging travel for you.
• From Fora Travel, travel suppliers, reservation systems, payment providers, insurers, destination partners, and other entities involved in your trip.
• Automatically through our website, cookies, server logs, security tools, analytics technologies, and scheduling pages.

3. How We Use Information

• Respond to inquiries and determine which planning service fits your trip.
• Research destinations, prepare recommendations and itineraries, and personalize travel options.
• Request quotes, reserve and manage air, lodging, cruises, tours, transfers, dining, activities, insurance, and other travel components you authorize.
• Verify traveler details, communicate with suppliers, process planning fees and booking payments, and provide confirmations and travel documents.
• Support you before, during, and after travel, including changes, disruptions, cancellations, refunds, claims, and emergency coordination.
• Maintain client, booking, accounting, tax, commission, and compliance records.
• Operate, secure, troubleshoot, analyze, and improve our website and services.
• Send travel inspiration, service updates, or marketing communications when you request or permit them; you may unsubscribe at any time.
• Prevent fraud, protect travelers and business operations, enforce agreements, and comply with legal, regulatory, supplier, insurance, or industry requirements.

4. How We Disclose Information

Travel arrangements require sharing relevant traveler information. We disclose only the information reasonably necessary for the requested service, including to:

Fora Travel. Our host agency and booking platform, which supports advisor operations, client records, quotes, itineraries, payments, reservations, supplier relationships, and commission processing.

Travel suppliers. Airlines, hotels, resorts, cruise lines, tour operators, rail providers, car-rental companies, transfer companies, restaurants, activity providers, destination-management companies, and other suppliers included in your trip.

Travel-support providers. Travel insurers when requested, visa or passport-support services, emergency-assistance providers, reservation and itinerary platforms, global distribution systems, and technology providers used to deliver travel services.

Payment providers. Banks, card processors, payment gateways, Fora, and suppliers that process planning fees or travel charges.

Business service providers. Website hosting, scheduling, email, cloud storage, communications, security, analytics, and administrative providers supporting KVAS Travel.

Government or legal recipients. Customs, immigration, border, security, tax, regulatory, law-enforcement, court, or other authorities when required by law or necessary for travel.

Professional and business transaction recipients. Attorneys, accountants, insurers, auditors, or a successor in connection with a financing, sale, reorganization, or transfer of the business, subject to appropriate protections.

KVAS Travel does not sell personal information and does not disclose personal information to third parties for cross-context behavioral advertising. We do not provide traveler information to data brokers.

5. Fora Travel and Independent Suppliers

KVAS Travel operates as an independent travel advisor powered by Fora Travel. When information is entered into Fora's systems or submitted to a supplier, Fora or that supplier may act as an independent business or data controller and may apply its own privacy policy, security standards, retention rules, and legal obligations.

Travel suppliers determine what information is required to make and fulfill a reservation. Their collection and use of information is governed by their policies and by the laws of the jurisdictions in which they operate. We encourage you to review the privacy terms of Fora and each material supplier before booking.

6. Sensitive Information and Secure Submission

Passport data, payment credentials, health or accessibility information, and other sensitive travel information should be provided only when necessary for the requested service and through the secure method we or the applicable provider identifies. Do not send full payment-card information, account passwords, or unrequested identity documents through ordinary email.

We use sensitive information only to provide authorized travel services, accommodate traveler needs, comply with law, or protect travelers. We do not use sensitive information to infer characteristics for advertising.

7. International Data Transfers

Travel planning often requires sending traveler information to Fora, suppliers, and service providers located outside your home state or country. Privacy laws and protections in the destination or supplier's jurisdiction may differ from those where you live. By asking us to arrange international travel, you understand that necessary information may be processed in the countries involved in your itinerary or by providers supporting those arrangements.

8. Cookies, Analytics, and Online Tracking

Our website is hosted by Squarespace, which uses functional and required cookies to operate, secure, and deliver the site. Depending on site settings and your consent choices, Squarespace or other providers may also use analytics or performance cookies. Our scheduling pages are powered by Acuity Scheduling, a Squarespace service, which may process technical, appointment, and payment-related information under its own privacy policy.

You may control cookies through available cookie-banner settings and your browser. Blocking required cookies may affect website or scheduling functionality. Third-party sites, booking platforms, and suppliers may use their own cookies and tracking technologies.

California Do Not Track Disclosure. Our website does not currently respond to legacy browser "Do Not Track" signals. KVAS Travel does not sell or share personal information for cross-context behavioral advertising. A Global Privacy Control signal therefore does not change KVAS Travel's stated sale or sharing practices, although third-party platforms may respond to such signals under their own policies.

9. Data Retention

We retain personal information only for as long as reasonably necessary to plan and service travel, maintain traveler relationships, support changes or claims, comply with supplier, host-agency, accounting, tax, insurance, fraud-prevention, legal, or regulatory requirements, resolve disputes, and enforce agreements.

Retention periods vary by record type, trip, supplier, and legal obligation. When information is no longer required, we take reasonable steps to delete it, de-identify it, or securely dispose of it. Information retained by Fora, suppliers, payment processors, or other independent providers is subject to their retention practices. Information in backups may remain until the applicable backup cycle expires.

10. Data Security

KVAS Travel uses reasonable administrative, technical, and organizational safeguards designed to protect personal information, including access controls, secure business and booking systems, confidentiality practices, and limited disclosure based on travel need. No method of transmission or storage can be guaranteed completely secure, and we cannot control the security practices of independent travel suppliers or platforms.

11. Your Privacy Rights and Choices

Depending on where you live and subject to applicable exceptions, you may have the right to:

• Request access to or a copy of personal information KVAS Travel maintains about you.
• Request correction of inaccurate personal information.
• Request deletion of personal information.
• Request information about the categories of information collected, the purposes for collection, and the categories of recipients.

• Withdraw consent where processing is based on consent.

KVAS Travel does not sell personal information or share it for cross-context behavioral advertising. We will not discriminate against you for exercising an applicable privacy right. We may need to verify your identity and authority before completing a request. Deletion or restriction requests may be limited when information is required to service current travel, maintain transaction records, comply with law, or protect legal rights. Requests concerning information held independently by Fora or a travel supplier must be submitted directly to that provider.

Our website and planning services are directed to adults and are not intended for children under 13 to use independently. We may collect information about a child traveler from a parent, legal guardian, or authorized adult when necessary to arrange family or group travel. The adult providing the information must have authority to do so. If you believe a child submitted information directly without appropriate authorization, contact us so we can review and delete it as required.

Our website, itinerary materials, and communications may link to Fora, supplier, destination, insurance, payment, social-media, or other third-party sites. KVAS Travel is not responsible for the privacy practices of those independent services. Review their privacy notices before providing information or completing a transaction.

14. Changes to This Policy

We may update this Privacy Policy as our services, suppliers, technology, or legal obligations change. The revised policy will be posted on kvastravel.net with a new effective date. When required by law, we will provide additional notice of material changes. We encourage you to review this Policy before each new engagement or significant trip.
